This website, phillyperforms.com, is run by the Performing Arts Office of Philadelphia Parks & Recreation (“PPR Performing Arts”, “we”, “us”). This page explains what information the site collects, why, who handles it, and how to reach us about it.
PPR Performing Arts is a program of the City of Philadelphia. The City of Philadelphia’s own policies and the laws that apply to City records may also apply to information you give us.

Information about children
Many of our programs are for children and teens. Most information about a child on this site is given to us by the child’s parent or guardian, for example on a camp or program registration form. We use it only to run the program: to enroll the child, reach the family, keep the child safe, and know who may pick the child up. We do not sell it and we do not use it for advertising.
The registration form includes an optional Media Release. If a parent or guardian signs it, the City may use photos, video and voice recordings of the child from the program as that release describes. Photos and videos from our performances appear in the site’s gallery. If you want a photo of your child taken down, email us and tell us which one.
What we collect and why
We only collect what you type into a form, plus the basic site statistics described further down.
Camp and program registration
The participant registration form (also used for summer camp registration) asks for the participant’s name, date of birth, age, home address, phone numbers, email, school, grade, gender, race (optional), primary language, shirt size, and anything staff should know, such as medical conditions, dietary needs or behavioral concerns. It also asks for up to four parent, guardian or emergency contacts and who may pick the child up, and it collects signatures for the program waivers.
We use this to enroll the participant and run the program. The form is saved in our database, turned into a signed PDF, and emailed to the Performing Arts Office. The person who fills it in also gets a copy by email. For summer camp, we also use it to track whether the registration fee has been paid and to send your receipt.
Employment application
The City of Philadelphia Application for Temporary Employment asks for the information on the City’s official form. That includes your name and any other names, date of birth, Social Security number, contact details and address, sex and marital status, citizenship or work authorization, driver’s license, tax withholding details, military status, prior City employment, education and work history, an emergency contact, relatives who work for Parks & Recreation, the position you want, your consent to the medical history release and drug testing, and your signature. Some demographic questions are optional.
We use it to consider you for employment. The completed form is turned into the official PDF and emailed to the Performing Arts Office, with a copy to you. Your Social Security number, date of birth and full address are written into that PDF only. They are not stored in the website’s database. The database keeps your name, email, the position and the date you applied, so we can track your application.
While you fill in the form, a draft is saved in your own browser so you do not lose your work. Your Social Security number is never saved in that draft. The draft is deleted from your browser when you submit. If you use a shared computer and do not submit, clear the site’s data in your browser.
Other forms
- Newsletter sign-up: your email address. We use it to send you program news. To stop getting it, email us and we will take you off the list.
- Testimonials: your name, your message, the program, your email (optional) and a photo (optional). We may share a testimonial on our site with your permission.
- MECE City Choir sign-up and booking requests: name, email, phone, voice part, City department and employment details, experience and notes; for bookings, your organization and the event date, time, place, type, budget and details.
- Open mic sign-up: name, email, phone, age group, act details, number of performers, and any needs or notes.
- Program submission (for recreation centers): center and program details, the program address, and the contact person’s name, email and phone. When we approve a program, its address is looked up on OpenStreetMap so it can be placed on the program map.
- Workshop development (for artists and teachers): name, email, phone, website, skills, experience, audience and availability.
- Camp absence form (open during camp season): the camper’s name, the camp, the days they will miss, and a parent email (optional).
- Video submissions (for recreation centers): the site name, district and a link to the video.
Each of these is saved in our database, and most are also emailed to the Performing Arts Office so a person can respond. Some forms send you a confirmation email.
Public video votes: when you vote, we store a one-way scrambled code made from your internet address, your browser details and the date, only to limit voting to once per day. We cannot turn that code back into your address.
Staff sign-in
Seasonal staff sign in to the staff page with an access code and a one-time code sent to their work email. We keep the approved staff email list, the one-time codes (stored scrambled) with the internet address that asked for them, and the hours and camper absences staff record.
Site statistics
The site counts its own visits. It does not use Google Analytics, advertising pixels or any other outside tracking service. For each page you view, and each photo or video you open, we record the page or item, the website that sent you (if any), your browser type, your country, and a random visit code. We do not store your internet address in these statistics. The random visit code is kept in your browser only until you close the tab.
Cookies and browser storage
This site does not set cookies. It uses your browser’s own storage for a few small things: the random visit code above, a note that you have already closed a pop-up notice so it does not show again, which videos you voted for today, the employment application draft described above, and the staff sign-in while a staff member is signed in. You can clear all of it in your browser settings at any time.
Some videos on the site play from YouTube (in its privacy-enhanced mode) or Google Drive, and some link to OneDrive. Those services may set their own cookies when you play a video. Their own privacy policies apply.
Who handles the information
We do not sell personal information, and we do not share it with anyone for their own marketing. These service providers handle it for us, only to run the site:
- Vercel hosts the website and runs its forms. It also stores the gallery photos and videos.
- Neon hosts the database where form submissions are saved.
- Resend sends the site’s emails, including the form copies sent to our office and to you.
- Google Fonts and unpkg deliver the site’s fonts and code libraries, and OpenStreetMap draws the maps. Video previews load from Google Drive and YouTube. Your browser contacts these services directly, so they see your internet address.
This website is built and maintained by Fishtown Development, who can access site data only to run and support it.
Inside the City, information you send reaches the Performing Arts Office and the City staff who run the program or the hiring process. We may also share information when the law requires it.
How long we keep it
We keep information as long as we need it to run the program or the hiring process, or as long as the law and City records rules require.
Public records
Because PPR Performing Arts is part of City government, records we hold may be subject to public records laws, including the Pennsylvania Right-to-Know Law, and to the exemptions those laws provide.
Your choices
You can ask to see, correct or delete the information you gave us, or to stop getting our emails. Email Joseph.J.Pospiech@phila.gov and tell us what you want. Some records, such as signed waivers and employment applications, may need to be kept under the law or City rules. If we cannot delete something, we will tell you why.
Security
The site uses encrypted connections (HTTPS). The dashboard where our staff read submissions needs a key, and the staff page needs two sign-in steps. No website is perfectly secure, so please do not send us more than a form asks for.
Changes to this page
If we change how the site handles information, we will update this page and the date at the top.
